Use the job reference at the point of purchase

A consistent code should appear on time records, materials invoices, rental charges and customer billing. Shared purchases need a documented allocation. Return credits should follow the original job rather than lowering another job’s costs.

The report can distinguish recorded costs, open purchase commitments and estimated costs to finish. Those amounts serve different purposes and should not be combined in a way that counts the same supplier order twice.

Keep proposed changes separate

A requested variation may require labour before its price is approved. Showing it separately gives the manager a useful action rather than overstating agreed revenue. Operational estimates and approval status come from the person responsible for the job.

Illustrative example: a small commercial refit

A Surrey contractor has $48,000 of approved job revenue and expects $36,000 in direct costs. The $12,000 contribution is before overhead, finance and tax. A further $3,000 cost increase reduces that contribution to $9,000 unless scope or pricing changes. The report explains the movement rather than merely showing total spending.
